Office Assistant/Secretary

Qualifications: Bachelor’s degree or diploma in Administration, Commerce, or related field.
Experience: Minimum 2 years of relevant hospital experience
Job Description:

The Office Assistant/Secretary is responsible for providing administrative and clerical support to ensure efficient office operations. The role includes handling correspondence, maintaining records, scheduling meetings, managing office communication, and supporting management and staff in day-to-day administrative tasks.

Key Responsibilities

  • Manage daily office administrative activities and clerical tasks.
  • Handle incoming calls, emails, letters, and other correspondence.
  • Schedule appointments, meetings, and maintain calendars.
  • Prepare and maintain office documents, files, and records.
  • Draft letters, reports, memos, and meeting minutes.
  • Coordinate travel arrangements and logistics when required.
  • Maintain office supplies inventory and place orders as needed.
  • Assist in organizing meetings, events, and office activities.
  • Receive visitors and direct them appropriately.
  • Ensure proper filing and confidentiality of company documents.
  • Support HR, finance, and operations teams with administrative tasks.
  • Maintain cleanliness and organization of office records and workspaces.
  • Perform data entry and basic MIS/reporting activities.
  • Visit peripheral centres Health Camps
  • licensing and compliance, statutory deadlines, and risk mitigation Managing Standard Operating Procedures (SOPs), calibration logs
  • Ensuring internal deadlines for quality standards

Qualifications & Requirements

  • Bachelor’s degree or diploma in Administration, Commerce, or related field.
  • Mandatorily have PGDHA (Post Graduate Diploma in Hospital Administration)
  • Minimum 2 years of experience in office administration or secretarial work.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Good typing and documentation skills.
  • Strong verbal and written communication abilities.
  • Professional appearance and interpersonal skills.

Preferred Skills

  • Knowledge of office management procedures.
  • Ability to multitask and prioritize work effectively.
  • Strong organizational and time-management skills.
  • Familiarity with office equipment and software systems.
  • Basic accounting or record-keeping knowledge is an advantage.
